بالنسبة لمعظمنا ، يعد البريد الإلكتروني هو الوسيلة الأكثر شيوعًا للتواصل في عالم الأعمال، لذا اصبح من المهم فهمه بشكل صحيح والحرص على ان تكون رسائل البريد الالكتروني التي نرسلها الى مدراءنا او زبائننا او زملائنا احترافية وخالية من الأخطاء.

كيفية كتابة البريد الإلكتروني الإحترافى المثالي 

اتبع هذه الخطوات الخمس البسيطة للتأكد من أن رسائل البريد الإلكتروني التي تكتبها هي احترافية تمامًا:
  1. ابدأ بالتحية
  2. اشكر المتلقي
  3. اذكر الغرض او الهدف الخاص وهو موضوع المراسلة
  4. أضف ملاحظاتك الختامية
  5. اختتم بتحية ختامية

1- ابدأ بتحية احترافية

ابدأ بريدك الإلكتروني دائمًا مع تحية ، مثل “Dear NAME”
إذا كانت علاقتك بالمستلم رسمية ، فاسبق اسمه باللقب المناسب مثل “Dear Mr./Mrs. NAME”
إذا كانت العلاقة غير رسمية ، يمكنك ببساطة أن تقول ، “Hi NAME”
إذا كنت لا تعرف اسم الشخص الذي تكتب إليه ، فاستخدم: “To whom it may concern” أو 
“Dear Sir/Madam”.

2- اشكر المستلم (الشخص او مجموعة الأشخاص الذين ترسل لهم البريد الالكتروني)

إذا كنت ترد على استفسار من زميل او عميل، يجب أن تبدأ بعبارة شكر، على سبيل المثال، إذا كان لدى شخص ما سؤال حول شركتك ، فيمكنك أن تقول ، “Thank you for contacting ABC Company”.

إذا رد شخص ما على إحدى رسائلك الإلكترونية ، فتأكد من قول “Thank you for your prompt reply” أو “Thanks for getting back to me
إن شكر القارئ يجعله يشعر بالراحة ، وسيجعلك تبدو أكثر أدبًا.

تجدر الإشارة هنا الى ان عبارة الشكر يفضل استخدامها فقط ان كنت ترد على بريد الكتروني من احد الزملاء او المدراء او العملاء، اما اذا كنت تبدأ ارسال البريد الالكتروني فيمكنك الانتقال الى الخطوة التالية.

بمعنى اذا كنت انت من تبدأ المراسلة فليس من المنطقي ان تشكر المستلم على لا شيء، اما اذا كنت ترد على بريد إلكتروني مرسل اليك من قبل فالأفضل شكر المستلم بأحد العبارات أعلاه ومن ثم الدخول بالنص الرئيسي للغرض من البريد الالكتروني.

3- اذكر الغرض او الهدف الخاص وهو موضوع المراسلة

كما اشرنا في أعلاه اذا كان البريد الالكتروني الذي ترسله هو الأول حول موضوع معين وليس ردا على بريد الكتروني سابق من احد الأشخاص فلا يصح بدء البريد الالكتروني بالشكر وانما الخوض في صلب الموضوع مباشرة من بعد التحية.

لذلك يفضل تحديد الغرض من بريدك الالكتروني والاشارة الى الهدف او الغرض من هذا التواصل ويكون ذلك بافتتاح الحديث بعبارات مثل
“I am writing to enquire about …”
أو
“I am writing in reference to …”


اجعل هدفك واضحًا في بداية البريد الإلكتروني ، ثم انتقل إلى النص الرئيسي لبريدك الإلكتروني.


تذكر أن الأشخاص يريدون قراءة رسائل البريد الإلكتروني بسرعة ، لذا اجعل جملك قصيرة وواضحة.


ستحتاج أيضًا إلى الانتباه جيدًا إلى القواعد النحوية والإملائية وعلامات الترقيم حتى تقدم صورة احترافية عنك وعن شركتك.

4- أضف ملاحظاتك الختامية

قبل إنهاء رسالتك الإلكترونية ، من الأدب أن تشكر القارئ مرة أخرى وأن تضيف بعض الملاحظات الختامية المهذبة. 

يمكنك البدء بعبارة مثل
“Thank you for your patience and cooperation” 
أو 
“Thank you for your consideration
” 

ثم المتابعة بـ 
“If you have any questions or concerns, don’t hesitate to let me know”
و 
“I look forward to hearing from you”..

5- اختم رسالتك بتحية

الخطوة الأخيرة هي تضمين تحية ختامية قبل التوقيع الالكتروني مثل 
“Best regards”
“Sincerely”
“Thank you”  

تجنب الختام بعبارات مثل “Best wishes” أو “Cheers” إلا إذا كانت رسالة البريد الالكتروني غير رسمية وكنت صديقًا جيدًا للقارئ. 

أخيرًا ، قبل أن تضغط على زر الإرسال ، راجع بريدك الإلكتروني ودققه إملائيًا مرة أخرى للتأكد من أنه خالٍ من أي أخطاء.
